Komandcentrs uses artificial intelligence (AI) for document processing, conversations and productivity tools. AI processes your financial documents (invoices, bank statements) to automatically extract data for entries. AI conversations are private and accessible only to you.
AI inference is provided by Ollama Cloud and/or OpenRouter cloud services depending on administrator configuration. These services operate outside our infrastructure, but access is strictly limited by authentication keys, and data exchange occurs over an encrypted channel (HTTPS/TLS).
Provider switching: The administrator can switch between Ollama Cloud and OpenRouter as the primary AI service provider. This choice does not affect data retention periods, user rights or data protection measures; both services operate in accordance with this privacy policy.
Automatic fallback system: If the fallback system feature is activated and all Ollama Cloud API requests are saturated (busy), the system automatically and immediately switches requests to OpenRouter without informing the user about the switch. In this case, your data (conversation messages, document content) may be processed by OpenRouter to ensure continuous operation. The switch occurs only during request execution and data is not stored on OpenRouter servers longer than necessary for the response.
Voice recording processing: Audio files for speech recognition are sent to the cloud service provider (OpenRouter) for processing. Audio files are not stored long-term on our or the provider's servers; they are processed once, and the transcription result is saved as text in the user's note.
Technical and organizational measures (TOM): All access connections go through separate service accounts with minimal permissions (principle of least privilege). Data storage occurs only in the EEA region.
Komandcentrs uses the Google Calendar API to synchronize your calendar events with our application. This integration uses Google OAuth 2.0 authentication, and access is requested only with your direct consent.
What Google data we request: We request two access scopes: permission to read and edit calendar events (calendar.events) and permission to list available calendars (calendar.readonly). We do not request access to your Gmail, Google Drive, contacts or other Google services.
How we store Google data: OAuth access tokens are stored encrypted in our database (Supabase, EU region). Calendar event metadata (title, date, time, reminders) is synchronized with your account data in Supabase. We do not store your Google password; access is only through OAuth tokens.
Data retention: Google OAuth tokens are deleted immediately when you disconnect the Google integration in settings. Calendar event data that was synchronized to your account is retained until your account is deleted, in accordance with the retention periods specified in section 6.
Limited use: We use your Google data only to provide the calendar synchronization feature of the service. We do not sell, rent or share your Google data with third parties. We do not use your Google data for advertising or marketing purposes.
Disconnection: You can disconnect the Google integration at any time in the settings page. Upon disconnection, we revoke your Google OAuth tokens and further access to your Google Calendar is terminated. Your already synchronized events remain in your Komandcentrs account until manually deleted.
What Google data is processed: During synchronization we process the synced events' titles, dates, times, locations and attendee emails, plus calendar names and time zones. We do not access event data outside the calendar synchronization feature.
Data transfers: Your Google Calendar data is not transferred to other providers except Supabase (EU region), where it is stored together with your account data. We do not transfer Google data to advertising services, data brokers or AI models.
